Group Event Information
Gratuity is the tip you leave for the team that manages your event. The event Gratuity is 22% and you can add any additional gratuity at the end of your event if you choose to. The Admin Fee covers operational expenses. The Admin Fee is 5%.
A deposit is required—please check with your Special Events Manager for details. Deposit is equivalent to the rental rate.
To secure your reservation, sign and return the online event agreement sent by your Special Events Coordinator within three calendar days with a deposit equal outlined on the agreement. We require a credit card authorization form filled out for cancellation policies.
To ensure everything is prepared on time, provide your food and beverage choices to your Special Events Coordinator at least two weeks prior to your event.
Submit your final guest count three calendar days before your event. If no updated count is provided, the original number on the agreement will be used. If additional guests arrive, we will do our best to accommodate them.
You will choose from a prix-fixe menu featuring a variety of signature items from our regular offerings. Menus change seasonally to ensure the freshest ingredients. Please note, some substitutions may occur based on availability. Food selection is determined before the event and will be executed based off of the agreed up contract.
If you need to cancel, notify us at least two weeks prior to avoid fees. For restaurant buyouts, this policy differs; consult your Special Events Coordinator for specific terms.
Should a contracted event be canceled within fourteen (14) business days of the scheduled event date, a cancellation fee equal to one-half of the contracted food and beverage minimum will be charged. Cancellations made within three (3) business days of the event date will result in a cancellation fee equal to the contracted food and beverage minimum, or for the number of guests originally contracted ($50/person at dinner, and $25/person at lunch), whichever is greater.
In the month of December, events canceled within thirty (30) days of the event date will be charged a cancellation fee equal to the contracted food and beverage minimum, or for the number of guests originally contracted ($50/person at dinner, and $25/person at lunch), whichever is greater. Where required by state law, Bottle & Bean will collect applicable sales tax.
Any cancellations must be made in writing to the Group Sales Manager.
Cancellations made less than two weeks before the event will incur a fee of 50% of the food and beverage minimum. If canceled within 24 hours of the event, the full minimum will be charged. Cancellation fees cannot be transferred.
Patio events proceed rain or shine. If inclement weather arises, we’ll do our best to relocate your event indoors. If no alternate space is available, cancellation fees will apply.
If you are more than 30 minutes late without notice, your reservation may be released, and cancellation fees will apply.
Absolutely! We encourage you to personalize the space with centerpieces, candles, balloons (secured to weights), and table runners. However, items such as glitter, adhesives, loose balloons, confetti, and feathers are not permitted to preserve the space for future guests. Any candles or open flames must be contained.
If you'd like to include our logo on event materials, request our brand standards kit and high-resolution logo from your Special Events Coordinator. All materials must be approved before production. For ticketed events, logo use requires prior approval.
We require a credit card on file to secure your reservation. All information is encrypted for security, but you must present the card at the event for payment.
Final payment is due at the end of your event. One bill will be provided, as we do not offer split checks for group events. The total includes food, beverages, tax, service charge, and gratuity. Unfortunately, discounted gift cards cannot be used for payment.
